You submitted your application, got a reference number, and now you're checking your inbox every 20 minutes. That's normal. Here's what the status labels actually mean, how to track properly, and what to do when something doesn't look right.

What You Need to Track Your Application

Every Dubai visa application generates a reference number at the point of submission. This is the key that links you to your application in the system. Without it, tracking is difficult.

  • Check the confirmation email you received after submitting — the reference number is in there
  • If you applied through Insta Dubai Visa, log into your account to see application status under your dashboard
  • If you can't find the reference number, the email address and passport number you used to apply can usually retrieve it

Common Application Status Labels and What They Mean

Status Label

What It Means

Submitted / Received

Application logged. Document review has not started yet.

Under Review

A visa officer is actively reviewing documents. This is normal and expected.

Pending / In Process

Review is ongoing. May indicate additional verification is underway, or the application is in a queue.

Additional Documents Required

Something is missing or unclear. Check your email for a message from the provider — action is needed from you.

Approved

Visa issued. The approved visa document is sent to the email address on your application.

Rejected / Declined

Application not approved. Review the reason given and see the rejection guide for next steps.

How Long Each Stage Usually Takes

  • Submitted to Under Review: typically within a few hours to one business day
  • Under Review to Approved or Rejected: one to three working days for most standard applications
  • Additional documents requested: the clock pauses until you respond — same-day response keeps things moving

The stage that surprises people most is the document correction phase. An application can sit in 'Pending' for four or five days because the applicant hasn't seen the correction email. Check your spam folder if the status hasn't moved in 48 hours.

What to Do When the Status Isn't Moving

  1. Check your spam or junk folder for any messages from the service provider
  2. Log into the provider's portal and look for any flags or notifications attached to your application
  3. Contact customer support with your reference number and the date of submission
  4. Don't submit a second application — duplicate submissions create conflicts in the system and slow everything down

A useful benchmark: if standard processing is quoted as two to three working days and five full working days have passed with no update and no communication, that's when it makes sense to contact support directly. Before that point, patience is usually the right call.

After Approval: What Happens Next

The approved visa arrives as a PDF by email. Print it and carry it with you — alongside your passport — when you travel. Airlines may ask to see the visa document before boarding, and UAE immigration will check it on arrival.

  • Save the PDF in cloud storage (email, Drive, iCloud) so you have backup access if you lose the print
  • Check that the name, passport number, and dates on the visa match your passport exactly before travel
  • Note the visa's issue date and calculate your entry deadline (typically 60 days from issue)

Frequently Asked Questions

Can I check my visa status without a reference number?

Some providers allow status lookup by passport number and nationality. Contact the provider directly with those details if you've lost the reference number.

Why does my status still show "submitted" after two days?

This usually means the document review queue is longer than normal, or there's an issue with the application that hasn't been formally flagged yet. Contact support if it persists beyond three working days.

I got an approval email but the visa isn't attached. What do I do?

Check the email formatting — some email clients strip PDF attachments and show only the body text. Try opening the email in a browser. If the visa still isn't there, contact the provider immediately with your reference number and they'll resend it.
